Responsibilities

Our newest opportunity is for a talented Secretary to join our Project Management Division based in Khobar, KSA. This position is responsible for answering phones, filing, copying, ordering supplies, sorting mail, relaying messages, composing correspondence, and do other basic tasks common to business operations. The selected candidate also may assume additional duties such as gathering time timesheets.

 

We envisage success in this role to include;

  • Managing and coordinating office management activities, including executives schedules/calendars/meetings/flight bookings/etc. 
  • Creating, maintaining, and/or updating various databases. Extrapolating, analyzing, and presenting data for management information reporting purposes. 
  • Serving as a liaison between executives, internal management, employees, clients, and visitors as required. 
  • Preparing letters, reports, memos, presentations and organizational charts using appropriate MS applications 
  • Receiving, sorting and distributing incoming correspondence, including faxes and emails. 
  • Reviewing incoming correspondence or email, leads initiative to determine appropriate action required. Leading and monitoring issues for appropriate follow up. 
  • Taking independent action on handling requests; determining the appropriate course of action, intervening where necessary, and acting as a liaison between departments. 
  • Creating, transcribing and distributing meeting agendas and minutes. 
  • Submitting, filing and retrieving project documents, records and reports in a timely manner. 
  • Coordinating data from a variety of sources for inclusion in technical reports and presentations; performs independent research and preparing information for special projects as assigned. 
  • Answering phone calls and direct calls to appropriate parties or take messages. 
  • Relieving other secretaries and receptionists on leave. 

Qualifications

To be successful in this dynamic opportunity, we envision that your career journey to date will include 8 years' work experience (5 of these will have been spent in the GCC), partnered with a Diploma in a relevant field such as Administration. Arabic language skills are preferred.

 

As the project is focused on Project Management of a major Hospitality program, the ideal candidate will have worked on such projects throughout their career.
